Operations Executive
Our client is seeking an Operations Executive to join their Branding and Digital Agency team to become the eyes and ears of their business. In this role, you will be responsible for overseeing various operational tasks, including payment collections, raising invoices and estimates, document controlling and calendar management, as well as supplier management with rate card negotiations. The successful candidate will play a vital role in ensuring smooth operations and effective communication within our organization.
Responsibilities
- Manage payment collections from clients, ensuring timely and accurate processing.
- Raise and maintain invoices and estimates, ensuring all necessary details are included and accuracy is maintained.
- Implement efficient document control systems, ensuring proper filing, retrieval, and storage of important business documents.
- Effectively manage calendars, ensuring appointments, meetings, and deadlines are properly scheduled and communicated.
- Develop and maintain strong relationships with suppliers, negotiating rate cards and contract terms to ensure cost-effectiveness.
- Monitor supplier performance, resolving any issues or discrepancies that may arise.
- Collaborate with internal teams to streamline operational processes and identify areas for improvement.
- Provide regular reports and updates to management on operational activities, highlighting any concerns or suggestions for improvement.
- Stay updated on industry trends and best practices related to operations management, proactively sharing knowledge and implementing relevant strategies.
Qualifications
- Bachelor’s degree in business administration, operations management, or a related field.
- Proven experience in operations management or a similar role, preferably in a fast-paced business environment.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent attention to detail, ensuring accuracy in all operational tasks.
- Exceptional communication and interpersonal skills, with the ability to build relationships and negotiate effectively.
- Proficient in using various software and tools for document management, calendar management, and invoicing.
- Analytical mindset with problem-solving abilities, able to identify and address operational challenges.
- Self-motivated and proactive, with a strong sense of ownership and accountability.
- Ability to work well under pressure and meet tight deadlines.
